This Privacy Notice explains how The Teenage Tutor Limited ('we', 'us', or 'our') collects, uses, and protects personal information about students, parents, and tutors. We are committed to respecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What information we collect, use, and why

We collect or use information to allocate tutors, deliver lessons, ensure appropriate support, and meet legal or safeguarding obligations.

This includes but is not limited to:

- Contact details
- Date of birth or school year
- Payment details
- Learning needs or reasonable adjustments
- Attendance and progress data
- Exam results and feedback
- Safeguarding and complaints information

Where we process information relating to learning needs, disabilities, or reasonable adjustments, this may include special category data. We rely on your explicit consent under Article 9(2)(a) of the UK GDPR, or where necessary, the vital interests of the student (Article 9(2)(c)) or legal claims (Article 9(2)(f)).

Lawful bases for processing

We rely on one or more of the following lawful bases for processing:

- Contract – to deliver tutoring services and manage payments.

- Legitimate interests – to improve services, resolve complaints, and maintain quality.

- Legal obligation – to comply with safeguarding, tax, and record-keeping laws.

- Consent – for marketing, where permission is given.

Data protection rights

You have the rights of access, rectification, erasure, restriction, objection, portability, and withdrawal of consent. We respond to requests within one month via privacy@theteenagetutor.com.

How long we keep information

We keep personal data only for as long as necessary:

- Financial and lesson records: six years from the end of the financial year they relate to.

- Safeguarding and child-protection records: until the student’s 25th birthday (or longer if legally required).

- Recruitment records (unsuccessful): 12 months.

- Marketing consents: until consent is withdrawn.

Who we share information with

TutorCruncher Ltd (UK-based) provides our lesson management and invoicing system. TutorCruncher acts as our data processor for lesson management and invoicing but may act as an independent controller for its own security and analytics.

Stripe Payments UK Ltd (UK & EEA-based) securely processes all card payments. Stripe acts as our data processor for payments and as an independent controller for anti-fraud and regulatory purposes.

Both operate under GDPR-compliant Data Processing Agreements.

We may also share data with parents, safeguarding organisations, or professional advisers where necessary. We never sell personal information.

If we transfer personal information outside the UK, we use appropriate safeguards such as adequacy regulations or UK-approved Standard Contractual Clauses to protect your information.

Children’s Code compliance

Because many users are under 18, we design our website and services with children’s best interests in mind, apply high privacy settings, and avoid using data for marketing without consent.

Security and Data Breaches

We use appropriate technical and organisational measures (encryption, access controls, staff training) to protect personal data. If we become aware of a data breach likely to pose a risk to individuals, we will report it to the ICO within 72 hours and inform affected people where required.

Marketing Communications

We send updates only where you have given consent or under the 'soft opt-in' for existing clients, in line with the Privacy and Electronic Communications Regulations (PECR). You can unsubscribe at any time by contacting privacy@theteenagetutor.com.
